REGIONAL REPRESENTATIVES
Welcome to the Regional Representation Committee and Thank You for participating
in this valuable way.
If you are new to the Committee, please send a note of introduction to the
Chair, Margie Price (Philadelphia Area) via e-mail address
regrep@stagemanagers.org. She will then add you to her master e-mail list
and you will be included in future messages to the committee.

GUIDELINES/PROTOCOLS FOR REGIONAL REPRESENTATIVES
As of March 24, 2006
Announcing Events to SMA Membership via website and e-mail
1. Create and thoroughly proofread text for website and e-mail.
2. Special guidelines if using images in your announcements: In order of
preference, the best image files for posting to the website are jpeg, then gif.
The image should be sent to the SMA Webmaster as an attachment to the
e-mail message.
3. Send to both the Webmaster and Secretary (webmaster@stagemanagers.org,
secretary@stagemanagers.org) with at least three weeks lead time.
Annual Budget for Events, Forums
Beginning with the 2005-2006 Season, The Executive Board is offering a $200
annual budget to the Regional Representatives for the purpose of implementing
social and networking events in your community. To request these funds, please
send a letter of request to the Executive Board at
board@stagemanagers.org.
Please include the date of your event(s) and how you anticipate the monies will
be used. Include contact information so that the Board may communicate with you
for further details as needed.
Sending Local Stories to the Website
As part of the program of facilitating local get-togethers with the funding
listed above, the Executive Board is requesting that local coordinators report
back with photographs and/or a written summary of your event. Our stories and
pictures will be posted on the website (and possibly sent via e-mail) for the
membership to learn from the things that concern us in San Francisco; to hear
about a Fight Combat Class in Minneapolis; or an Operation Observation Program
in Philadelphia. Our contributions to the website will provide an excellent
resource and teaching tool for our membership, as well as, strengthen the bonds
of our national community.
Requesting Reimbursement from the SMA for Special Events
(beyond the $200 annual budget)
1. Send a Proposal for your event and anticipated costs at least four weeks
prior to the event. Send your Proposal to me at
regrep@stagemanagers.org. I will review it, ask any initial questions and
then forward your request to the Executive Board. This gives the Executive Board
time to consider your request and respond back to you well in advance of your
event.
Proposal should include:
The Nature of the Event(s).
The Date of the Event(s).
A Breakdown of your Anticipated Expenses.
2. The Executive Board cannot guarantee the reimbursement of expenses but will
consider your full request for assistant. If you have a big-ticket item on your
breakdown of expenses - any single item that is over $100 - be very clear as to
why you need to purchase, say, the $200 centerpiece…. Basically we just need to
be reasonable with our requests. And I'm looking it over first, so if any red
flags go up for me we can address those together; a revised proposal can be
drafted if necessary and then sent to the Board.
Special Recognition Locally and Nationally
The SMA presents the "Del Hughes Award for Lifetime Achievement and Excellence
in the Art of Stage Management". The award was created by Julie Hughes and Barry
Moss, partners in a major casting office. This award honors Julie's father who
made a 50-year career of stage managing. The recipient is chosen by the
Executive Board of the SMA as representing the finest qualities of Stage
Management: patience, diplomacy, organization and a sense of humor.
Recipients of this award do not have to be members and they can reside anywhere
in the United States.
If you have some one in your community that is deserving of such an award, in
addition to any recognition you might want to give on a local level; please send
a letter of recommendation to the Executive Board via
board@stagemanagers.org.
The Board would like to present this award on a regular basis and will
appreciate the recommendations of Regional Representatives; it also provides an
opportunity to recognize the careers of members outside the NY-Metropolitan area
which is another goal of the SMA.
